PCSG is a multi-function, private practice, psychology and psychotherapy clinic that provides a wide range of clinical services in Counselling Psychology, Clinical Psychology, Rehab Psychology, Health Psychology, Clinical Neuro Psychology, Forensic Psychology, Play Therapy, Family Therapy, Couple Therapy and Sex Therapy. We serve children, adolescents, adults, couples and families with diverse clinical issues and complex presentations. We have seasoned psychologists available to provide supervision.

We are a collaborative and supportive team with a strong focus on professional development. This includes individual supervision with your supervising psychologist, monthly group consultation in DBT and EFT and supervision in Family Therapy, Couple Therapy and Sex Therapy as required. There are also weekly DBT consultation groups and peer consultation groups. Regular professional development courses are available at a discounted rate through the Oshawa Psychotherapy Training Institute.

We value training the next generation of clinicians, community service and innovation. We have been offering clinical practicum placements since 2007 and are a partner with the Toronto Area Residency Consortium (TARC) in the Child Track. We offer free community workshops and a Low Fee Program to those who otherwise may not be able to afford psychological services. Our innovation program includes the Program Using Psychoeducational Intervention for Learning (PUPIL) for complex learning disabilities and Mental Health for Elite Performers for Athletes.

Ideal Candidates will have:

  • A Doctoral or Masters degree in Psychology, from an accredited APA or CPA program with valid registration with the College of Psychologists of Ontario
  • Completion of APPI, CPA, or CCPPP accredited internship/residency program
  • Completed internship level training in clinical psychology
  • All degree requirements completed before your start date.
  • Ability to meet the requirements for issuance of a Certificate for Supervised Practice and pursue registration with the College of Psychologists of Ontario.
  • Commitment to contribute a minimum of 3 years of service (including supervised practice period)
  • High commitment to uphold regulatory, ethical and professional standards including mandatory reporting
  • Demonstrated skills to provide evidence-based clinical management, assessment and therapy services

Intake and Clinical Coordinator

Currently Hiring

We are looking for a strong communicator who is largely unflappable and highly organized to develop this new leadership role within our private practice. In this role, you are primarily responsible for our centralized intake system and will be the SME (in-house subject matter expert) for our electronic client management system. You will connect with prospective clients to find out about their needs and preferences for psychotherapy, and then direct them to the clinician who could be a good fit for them.

You will be involved in policy and procedure development and make recommendations for process improvements. As a strong administrator, you will coordinate the logistics of our therapy groups and our student practicum students and interns. Finally, you are tech savvy (we are slowly moving to paper-less)

Position Summary:

Reporting to the Director, Operations, the Coordinator has the following primary responsibilities:

  • Centralized Intake – coordinate intake and client flow processes including documentation and reporting at multiple clinic locations
  • Clinical – Coordination of in-house therapy groups and our practicum student/intern program

Major Duties and Responsibilities:

Leadership

  • As a member of the team,
    • involved in the development of quality and process improvement initiatives
    • make recommendations for improving processes and systems
    • responsible for policy and procedure development including ongoing evaluation, updates and related staff training
  • Support Managers, Client Services by assisting and deescalating difficult calls and client situations with front desk.
  • Create an environment that supports and advances professional practice, teamwork and communication through mentoring and role modeling with strong clinical knowledge

Intake Coordination

  • Provide administrative coordination to support a centralized intake system
  • Manage, organize and track all incoming referrals and intake communications
  • With Managers, Client Services, support front desk staff with initial client inquires; primary client contact for email and web inquiries
  • Receive and assess the appropriateness of requests for service; providing referral information for other community resources/services as appropriate
  • Obtain all relevant information from clients and book initial appointments
  • Manage the appointment and wait times for services within the clinic
  • Coordinate intake availability for each clinician and assigns new cases and client transfers
  • Identify situations that warrant urgent follow-up or referral to external crisis services

Reporting, Documentation and Records Management

  • Secure and coordinate necessary supporting demographic and health documentation, following all privacy rules and regulations
  • Document and maintain clear records of all client interactions
  • Provide input to management regarding patterns in client intake to support program development
  • Identify unmet or poorly met client needs and solutions to these service gaps, if possible
  • Compile intake data and client flow and prepare monthly statistical and annual reports

In-house SME – OWL (electronic client management system)

  • Liaise with OWL re: technical issues and suggested improvements
  • In-house technical expert to ensure optimization of its use
  • Training and support of PCSG staff
  • Configuration and monitoring of system
  • Make recommendations to Director, Operations regarding service contract

Clinical Groups and Student Practicum Coordination

  • Provide administration support to in-house consultation groups including arranging consulting psychologists, scheduling, and meeting invitations
  • Primary student practicum and intern point of contact for administrative issues; including extending initial offer, coordinating orientation, ensuring necessary paperwork is completed, arranging supervision time with psychologists, and providing ongoing administrative support as needed.

Qualifications

  • Undergraduate Degree/Diploma – Bachelor of Social Work (BSW); Bachelor of Art/Science – Psychology or related mental health post-secondary education
  • Minimum 3 years’ relevant experience

Experience/Skills

  • Demonstrated leadership skills, sound judgment and diplomacy; possess the ability to implement strategies that effectively facilitate change
  • A self-starter willing to take initiative; excellent decision making, critical thinking, problem recognition and problem-solving skills
  • Strong client focused philosophy; consistent demonstration of sensitivity and compassion to clients
  • Demonstrated ability to listen effectively and to build working relationships with clients, other team members and community partners
  • Strong written communication and grammar skills
  • Highly developed administrative and organizational skills with the ability to handle multiple priorities, work under pressure and meet strict deadlines
  • Demonstrated ability to manage high volume and varied work assignments with accuracy and flexibility and in a timely fashion
  • Proven ability to keep confidential all information regarding patients, health care providers, employees, business operations and clinic/team information
  • Experience and understanding of the needs of the mental health populations
  • Knowledge and sensitivity to work in a culturally diverse environment
  • Desire and ability to take on new and added responsibilities
  • Very comfortable with using computers and open to learning new software applications
  • Experience using Microsoft Office, Google Drive and Zoom
  • Experience in using an electronic medical record system
